Basic Principles

Kobayashi Roumu Corporation (the “Company”) recognizes the importance of personal information (information that can identify a specified individual) received from clients, and shall appropriately handle said personal information in accordance with laws, federal policies, and other standards. The Company has also established the following Personal Information Protection Policy to ensure the healthy, stable improvement and development of their services.

Personal Information Protection Policy

  1. The Company will establish a personal information protection management system that is appropriate for their work situation regarding clients’ personal information (address, name, age, telephone number, email address, and other information that can identify a specified individual) obtained through the Company’s labor and social security attorney work, payroll accounting work, and other incidental work thereof; personal information from seminar attendees (name, company name, occupation, telephone number, and address); and employee information, etc., and will appropriately and carefully handle said personal information in compliance with internal company policies.
    (1) Obtaining Personal Information
    When obtaining personal information, the Company will, as best as possible, specify to the user how the personal information is used and will take the necessary fair and legal measures to achieve these purposes.
    (2) Usage of Personal Information
    Personal information will only be used within the necessary scope to achieve the specified purpose. The Company will not handle personal information for purposes other than those stated (“Unintended Use”) without prior consent from the user. Also, the Company will fortify its internal management systems concerning such handling of personal information.
    (3) Providing Personal Information
    In the event that personal information is to be provided to a third party, said information must be used within the scope of its intended purpose that was agreed upon by the person in question. Furthermore, the Company must obtain consent from the person in question when said personal information is to be provided.
  2. The Company must build the necessary and appropriate safety measures, such as information security measures, to ensure the accuracy and safety of stored personal information and to prevent the leakage, loss, or damage to said personal information.
  3. The Company must appropriately and quickly attend to grievances or claims from the person whose personal information is in question.
  4. The Company must adhere to laws, federal policies, and other standards concerning the handling of personal information, in order to ensure that personal information is being adequately protected.
  5. The Company must establish, implement, maintain, and regularly improve upon the personal information protection management system.

5. Claims concerning the disclosure of personal information
In the event that Disclosure is requested by the person in question, claims will be dealt with quickly once the claimant’s identity has been confirmed.

To make a claim: Please fill out the Company’s designated claim form, attach copies of the required identification documentation, and send your claim via postal mail to the address below.
*Please include a 1,000 JPY postage stamp as the service charge if requesting a notice regarding the purpose of use or the disclosure of information.

Any personal information obtained through claims for the Disclosure of personal information usage will only be handled to fulfill the Disclosure request.

Please note that the Company cannot respond to certain claims for Disclosure if any of the following situations apply. If the Company cannot respond to your claim, you will be notified of the reason in writing.
– If the claim puts the claimant or any third party at risk for death, bodily harm, or damage to their property or any other rights and interests
– If the Company’s work will be significantly hindered by the claim
– If other laws, etc. will be violated
– If the specified documents are incomplete and requests for correction are refused
– If the personal information to be disclosed does not apply (e.g. personal information that was consigned by a vendor)
– If the claim cannot be confirmed to be from the person in question
